We are currently recruiting a Clinical Receptionist to provide reception and administrative support to a group of physiotherapists and consultants at our Sheffield West Clinic
Job Summary:
To provide an efficient, safe, effective, and happy working environment on reception. The key goal is to ensure patient comfort and to assist the clinicians in delivering all their normal daily duties. As a receptionist, you will be the first point of contact for our company. Your friendly demeanour, organizational skills, and attention to detail will contribute to creating a positive experience for our visitors and staff.
The suitable candidate will be required to be flexible and expected to assist with cover of other reception hours when required to cover team absence and sickness.
The clinics are open 8am-8pm Monday to Thursday, 8am to 5pm Fridays and 8am to 1pm Saturdays.
Although the role will be predominantly based at our head office, 3 Sandygate Park Sheffield S10 5TZ you may be asked to work at our Chesterfield or Rotherham clinic as necessary and must be available to do so.
Responsibilities:
- Ensure the practice is always clean, tidy and welcoming for all patients and staff.
- Organise an efficient system on reception to ensure the smooth transition of all patients undergoing treatment.
- Work as a team to deliver a consistent service for the White House Clinic.
- Always remain friendly and cheerful to all customers.
- Manage the consulting rooms and room users.
- Ensure any areas of building maintenance are reported to management.
- Organise and look after any other users of the building in such a way as to ensure they are comfortable throughout their use of the clinic.
- Run day to day practice billing for the clinics including patient invoicing, liaising with insurance companies
- Taking payments and ensuring accuracy and high standards at all times
- Work with the other receptionists and practice staff to ensure all patient data is kept up to date.
- Follow the reception practice protocols and procedures, review and update as required.
- Manage practice equipment, supplies and services and ensure all stock is updated in reception, consulting rooms and bathrooms.
- Monitor stock levels (report ink cartridges, paper requirements etc)
- Ensure there is always enough appointments available for urgent on the day appointments. Negotiate with practitioners to accept additional clients if necessary.
- Always check the email referrals and follow the appropriate pathways.

- Information relating to patients, carers, colleagues, other healthcare workers or the business of the practice may only be divulged to authorised persons in accordance with the practice policies and procedures relating to confidentiality and the protection of personal and sensitive data
Health & Safety:
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy and the Company Handbook. This will include:
- Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
- Making effective use of training to update knowledge and skills
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
- Actively reporting of health and safety hazards and infection hazards immediately when recognised
- Keeping own work areas and general / patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holder’s role
- Reporting potential risks identified

Key Skills/Requirements:
- Good standard of general education.
- Excellent computer skills including email, word and excel
- Experience of working with the public.
- Experience of working effectively under pressure and meeting deadlines to manage and prioritise a varied and busy workload
- Previous Reception/customer facing role.
- Excellent interpersonal and communication skills.
- An excellent command of written English and the ability to draft correspondence.
- Strong IT skills.
- Ability to work cooperatively as part of a team.
- Attention to detail.
- A proactive work ethic with a ‘can-do’ attitude.
- Ability to work independently and to demonstrate initiative with a willingness to resolve situations, as well as knowing when to refer issues to others.

Hours Available:
Tuesday: 15.00-20.00 (5)
Friday: 09.00-17.00 (8)
Saturday: 08.00-13.00 (on weeks 1 and 3 plus when applicable week 5)
Weekly average: 16hours
